Privacy Policy

This Privacy Policy explains how OptiField ("OptiField," "we," "us," or "our") collects, uses, and shares information. It applies both to businesses that use OptiField and to their customers who interact with a business's AI agent over SMS or phone.

1. Information We Collect

  • Contact information: name, phone number, email address, and service address.
  • The content of text message conversations between you and a business's AI agent or staff.
  • Appointment and booking details (scheduled time, job type, notes).
  • How a lead reached the business (e.g. web form, missed call, referral) and any web form submissions.
  • For business staff accounts: name, email, and role.
  • Technical metadata from calls and messages (e.g. duration, timestamps) needed to route and deliver communications. We do not currently record phone calls or generate call transcripts.

2. How We Use Information

We use this information to operate the AI agent (contacting, qualifying, and scheduling leads on a business's behalf), deliver and receive SMS and calls, process business subscription billing, authenticate accounts, and, if a business connects one, sync appointments with their Google or Microsoft calendar.

3. Third-Party Service Providers

We rely on the following service providers to operate OptiField:

  • Twilio — sends and receives SMS text messages and phone calls.
  • Anthropic — powers the AI agent's understanding of and responses to conversations.
  • Supabase — authentication and database hosting.
  • Stripe — processes business subscription billing; we never see or store raw card details.
  • Google or Microsoft — optional calendar sync, only if a business connects an account.
  • Trigger.dev — runs scheduled and background tasks (e.g. missed-call follow-ups).
  • Vercel — hosts the OptiField application.

4. SMS Communications & Opt-Out

Replying STOP, UNSUBSCRIBE, CANCEL, END, or QUIT to any message immediately and unconditionally stops all further automated messaging to that phone number. Replying START, UNSTOP, or YES resumes messaging.

5. Data Retention & Deletion

We retain account and conversation data for as long as an account is active. When a business account is closed, we currently anonymize the account's email address on request but do not automatically erase the full historical record (e.g. past conversations, bookings, and billing history), which we retain for recordkeeping. We do not yet offer an automated data-deletion request process; if you'd like us to review what we hold about you, contact us at support@optifield.ai and we'll address it manually.

6. Account Access by Our Support Team

Our support team may temporarily access a business's account to help troubleshoot an issue. These sessions are logged, time-limited, and shown to the account via an on-screen banner while active.

7. Data Security

We use encryption in transit and access controls to protect your information. No raw payment card details ever reach our servers — those are handled directly by Stripe.

8. Children's Privacy

OptiField is not directed at children, and we do not knowingly collect information from anyone under 16.

9. California & Nevada Residents

OptiField currently operates in California and Nevada. We do not yet offer an automated CCPA deletion-request workflow — contact us at support@optifield.ai and we will handle requests about your information manually.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We'll post the updated version on this page with a new "Last updated" date.
